MOVED Secure Printing with Universal Print - QR Release
A guide for users who want to print documents securely by scanning a QR code on the printer
What is Secure Printing?
Secure Printing is a feature of Universal Print that allows you to print a document without sending it to the printer until you scan a QR code on the printer with your mobile device. This way, you can prevent unauthorized access to your document or accidental printing by someone else. Secure Printing is especially useful when you need to print confidential or sensitive documents, such as contracts, invoices, reports, or personal information.
Windows or Mac?
Currently Secure Print is only available for Windows Devices, if you’re a Mac user and want to enable this feature please contact itsupport@gravityglobal.com as additional licenses are required.
How to Download the Microsoft 365 App?
To use Secure Printing, you need to download the Microsoft 365 app on your mobile device. The Microsoft 365 app is available for iOS and Android devices and can be downloaded from the App Store or Google Play. The Microsoft 365 app allows you to access, edit, and print your documents from anywhere.

Once you’ve downloaded the App, ensure you’ve signed in with your Microsoft Account
How to Add a Secure Printer via the Work or School Option?
To add a secure printer via the work or school option, you need to follow these steps:
- On your Windows 11 device, go to Settings > Bluetooth & devices > Printers & scanners.
- Click Add a printer or scanner and select the work or school option.
Sign in with your work or school account if required.
- Choose the printer that you want to add and or Search of the correct Printer. A Secure Printer with QR release should say with Secure with the printer’s name.
- Select Add Device and wait for the printer to be installed and ready to use.
Printing to the Newly Added Printer?
To print to the newly added printer with Secure Printing Enabled.
- Open the document that you want to print, and select File > Print.
- Choose the printer that you added in the previous section. It should have the word Secure in its name ie. London Secure – RICHO C3000.
- Click Print.
- Go to the printer and scan the QR code that appears on the screen with your mobile device. On most devices this can be done directly with the Camera App.
- Once you’ve Scanned the QR code into the Office 365 App, find the Printer:
- Select your print job from the list and tap Print.
- Wait for your document to print and collect it from the output tray.
